KBA-01421: How to Configure Routes for Documents on Projects vs. Documents not on Projects

Problem:

Can automated (predefined) Routes be created for documents based on whether or not the document has a ProjectID?

Solution:

Yes.  When creating an predefined Route (through the Routes tool on the Manage Dashboard), the Project field in the ‘Rules for Selected Route‘ area can be used for this purpose. The following are valid entries the the Project field:

  •            – if left blank, the Project field is not considered for Route selection
  • ProjectID – if you select a ProjectID from the Lookup, then this Route will be considered only for documents on that one Project
  • (assigned) – if you type (assigned), then this Route will be considered only for documents with a Project ID
  • (unassigned) – if you type (unassigned), then this Route will be considered only for documents without a Project ID

For example, Voucher documents on Projects will route to the Project Manager and Project Assistant:

And Voucher documents without a Project ID will route to these users:
