Question:

I know how to click on the icon to get to File Properties in the Classic UI, but I don’t know where the option is in Power UX. How can I see properties for my files both from the Attachments tab and the File Catalog? Can I still see file versions and access history along with file properties as before?

Answer:

Whether you are in any file catalog (Files Only, preset search tab, etc.) or the Attachments tab on a document, you can get to the Properties window, which includes information about file versions and access history.

  1. Click the three-dot menu at the end of the file row.
  2. Select Properties. The File Properties window will appear.

The File Properties Window:

The Files Properties Window has three tabs: File Properties, File Version and Access History.

File Properties Tab:

The Files Properties tab, seen above, allows you to see and enter information related to the file. Some of the things you can do on this tab include:

  • Placing the file in a folder by selecting a folder in the Catalog Folder field.
  • Linking the file to a second person by typing or looking up a name in the Other Contact field.
  • Making the file confidential (so that only people on the route of the document to which the file is attached, can view it) by checking the Is Confidential checkbox.

File Version Tab:

The File Version tab lists all versions of this file currently in the Spitfire file library, along with the date the file was cataloged and approved; who uploaded the file, the size of the file, and who approved it. (Most files are automatically approved when checked in.)

  • Click the filetype icon to see a previous version of the file.

Access History Tab:

The Access History tab lists when the file was checked out, saved, checked in or read and by whom.

Additional Way to Access File Versions and Access History:

Whether you tear off from any file catalog (File Only, preset search tab, etc.) or the Attachments tab on a document, you can get to the Preview window, which includes information about file versions and access history.

  1. Select a file then click on the Preview icon.
  2. The Preview thumbnail window that appears includes tabs for Access History and File Versions.
    Note: in this view, File Versions is a read-only list; you cannot open prior versions from the list.
