Thanks to a user request, Spitfire Power UX now offers ways to summarize the main fields and attachments on documents as PDFs that can be emailed to you. From a document, the Doc Info (PDF) option combines the fields (from the sidebar, Details, Notes and Message/Email tabs) and thumbnails of all attached files (excluding those that are Not Sent) into one PDF file, enabling you to quickly review the information. From the Project Dashboard, the Combined Document Info option combines those fields and thumbnails of all the documents currently listed on the Document list into one comprehensive PDF file.

Prerequisites (for Sys Admins):
Usage of these options requires two things: proper permission and a “Doc Info (to PDF)” template. Spitfire distributes both. Check to see if the following are in place on your site. If not, contact Support or add them to your site manually.
Permission:
The DOC | Document Info PDF (RI) role capability allows a user to select both of the options. Spitfire now distributes this capability in the Everyone role, which generally means that all users have this permission. If you want to restrict usage of these options, remove the capability from the Everyone role and add it to a more suitable role. On the flip side, if you do not find this capability in your Everyone role (or elsewhere), add it to the appropriate role(s).

Doc Info (to PDF) Template:
Spitfire uses a special kind of template to combine the document data into a PDF. Check your template library to see if your site has the distributed Doc Info (to PDF) template. You can also create your own template (see KBA-01920). Note that the default template applies to all Doc types (because no Doc type is specified) and works on both the document-level and project-level options. One template is all you need; however, you can create and upload Doc type-specific templates if you’d like.

The Doc Info PDF:
To use the option on a document level:
- Select Doc Info PDF from the options (burger) menu on the document that you want to summarize.

– - While the PDF is being generated, you have to option to Email the PDF to yourself instead of displaying it or to Dismiss the option, by selecting the corresponding button.

– - If you do neither, the PDF will display on your screen (see the first picture in this article above). After you review your PDF, you can click on the following buttons.
- Email: to email the PDF to yourself. Once you have the email you can, of course, forward it to anyone else. Note that emailing outside of Spitfire is not included in Spitfire’s audit history.
- Attach: to attach the PDF to the document. This file is given the Incl option of Not Sent by default (or else it would be included if you selected Doc Info PDF again). If you want to route the document with this PDF, you should change the Incl option first.
- Send On: to immediately route the document. If you route the document without the attached PDF, or if the PDF still has the Incl option of Not Sent, the routed document will not include the PDF. If you are using the PDF just for a quick review of data before routing a document, this may be what you want.
- Dismiss: to close the PDF window. You can also click the X on the blue header of the window.
To use the option on a project level:
- Select the desired Doc type from the Project’s drop-down.
- Use grid filters to end up with just the documents that you want to include in the PDF. Keep in mind that the more documents that are involved, the larger the PDF will be.
- Select Combined Document Info from the options (burger) menu.

– - Because project-level PDFs are larger and take longer to generate, your only option is to email them to yourself. Click OK if you want Spitfire to generate the PDF and then email it to you.
