Question:

We generally use the same vendors on our projects. Is there a way for us to designate a number for each vendor that would show up as the Commitment’s doc number? For example, we would like all Commitments for Acme Plumbing to be 1001 and all Commitments for Acme Electrical to be 1002 on all projects. Is that possible?

Answer:

Yes, it is possible to use Vendor Preferred numbers in Power UX!  Some configuration is first needed: the Vendor Doc type must show the Specification field and this field must contain the doc number; and certain DocNumbering rules must be set.

The Vendor Document:

You must enter the Vendor Preferred number on the Specification field. If this field is hidden, it must first be made visible.

  1. Open a Vendor document:
    1. Click the icon next to a Contact’s Vendor ID on the Company Detail OR

      –
    2. Use the Documents Only catalog filters to find a Vendor document.

      –
  2. If the Specification field (with perhaps a different label) is not visible, have your System Admin make the field visible.
    1. Use the gear on the Details tab to open up a list of fields, look for Specification, and select it. You can also change the label and move it up or down. Save your site setting.

      –
    2. You can also make the field visible through the UI Configuration tool on the System Admin Dashboard.

      –
  3. This field is where you will enter the doc number that you wish to appear on Commitments for this vendor. We recommend that your Vendor Preferred numbers start with 1 and not 0.
Note: if the same vendor appears on two different Commitments on the same project, the Vendor Preferred number will be used only the first time.

DocNumbering Rules:

The following DocNumbering rules must be set as described.

  • CrossProject for Commitment = No (unchecked)
  • OnlyLike for Commitment = 0%.  (This rule tells Spitfire to use only doc numbers beginning with zero as auto doc numbers, preventing a Commitment from having an auto doc number that is also a Vendor Preferred number.)
  • VendorSpecific for Commitment = Yes (checked)
