Question:
I know that we cannot make changes to a document after it is set to a closed status (and the document becomes read-only), but sometimes we need to add a note to such a document, or edit certain fields for an Item after the document has been closed. Could there be a way for us to make changes just on those few fields of read-only documents?
Answer:
Yes. With the proper configuration and permission, you could make changes to Note fields and to specific fields on the Items tab even on documents with a closed status. The requirements are 1) you must have the CSTM | Internal Staff role capability in one of your roles and 2) the free-form text Notes or Items field must be configured to allow it.
Role Permission:
You must have a role that includes the CSTM | Internal Staff (RU) capability. For example, everyone with the Project Manager role shown below would have permission to edit fields on closed documents:

UI Configuration:
Only Notes and free-format text fields on Item tabs may be configured to allow editing on a closed document.
The required UI Configuration option is CSS=uiAllowLateEdit as an Extended option. The UI Configuration tool is found on the System Admin Dashboard.
