KBA-01507: What kind of templates does the Templates tool support?

Question:

I notice that there are different types of templates in the Templates tool (found on the Manage and System Admin dashboards).  What are all these template types used for?

Answer:

  • Attachment: a template either in Microsoft Word (with bookmarks that merge data) or Microsoft Excel (with no merge capabilities) used to create files that are automatically attached to a document when the icon on the Attachments tab is used.
  • Attachment (auto): a template, similar to one of type Attachment, that automatically creates an attached file for the document when the document leaves sequence 1 of its the route, if the Doc type and context correspond to exactly one Attachment (auto) type template.
  • Attachment (all): any number of templates, similar to Attachment templates, that are created if the document has no manually created files from a template and when the document leaves sequence 1 of its route.
  • BFA Budget Import Map: a template in Microsoft Excel used by the BFA Import Wizard to map data from the Import Sheet into BFA.  Once uploaded, the template file appears by default as the mapping file in the Import Wizard‘s opening screen.
  • BFA Site Settings: a template in Microsoft Excel created through the BFA workbook used to set the site settings of BFA.
  • BFA Supplemental Workbook: a template in Microsoft Excel used to organize data from the BFA workbook in custom ways. Some sample templates are distributed with the system.
  • Bid Analysis: a template in Microsoft Excel used to display information from all the RFQs associated with Bid Packages through a CoBRA (Competitive Bid Response Analysis) workbook. A default template is distributed with the system.
  • Email Body: a template in Microsoft Word (that can contain bookmarks) that populates the body of outgoing routed emails.
  • Exec Dashboard Export: a template in Microsoft Excel used to gather data exported from the Executive Dashboard.
  • Grid Export: a template in Microsoft Excel that provides a mapping from the RAWDATA sheet to your layout
  • Item Cover: a template in Microsoft Word that often contains bookmarks used to merge data from the Items on a Spitfire document.  One printout per Item is generated for the document.  Some sample templates are distributed with the system.
  • PAPT: a template in Microsoft Excel used to print out information from a Pay Application‘s SOV workbook. Some sample templates are distributed with the system.
  • Period Distribution Supplemental Workbook: a template in Microsoft Excel used to organize data from the Period Distribution workbook in custom ways.
  • Transmittal: a template in Microsoft Word that often contains bookmarks used to merge data from a Spitfire document on a transmittal cover sheet for each routee marked as a ‘transmittal‘ routee.  The template generates a printout for each such routee that is routed via email or fax.  Some sample templates are distributed with the system.
  • Via XL: a template in Microsoft Excel used to add Items to a document and to edit existing Items all through an Excel spreadsheet.   Some sample templates are distributed with the system.
    Note: templates in Microsoft Excel created as “Via XL” templates can also be uploaded into the Template tool as Attachment templates
