KBA-01717: Setting Up Data Projects

Question:

We’ve read Data (Parent) and Child Projects and we’d like to use Data projects.  How do we configure or set up the system for a Data project?

Answer:

You will need to set up a code in the Code Maintenance tool, set up the ProjectConfig | Project Setup rule, and consider other ProjectConfig rules as well.

Code Maintenance

  1. Open the Code Maintenance tool on the Manage Dashboard.
  2. Expand the Subtype code set.
  3. Filter for the Project Setup Doc type. (Use whatever you have called the Project Setup at your site.)
  4. Add a new row.
    1. Type D (or something similar) as the Code and Data (or something that makes more sense to you) as the Description.
  5. Save the new code.

Rules Maintenance

  1. Open the Rules Maintenance tool on the System Admin Dashboard.
  2. Expand the ProjectConfig rule group.
  3. Select the ProjectType rule from the drop-down.
  4. Add a new row.
  5. Select D (or the code that you created) as the filter value and D as the result value.
    Note: the result value must be D.
  6. Save.

Other ProjectConfig Rules

There are other rules that you may want to use in setting up your Data project. Use your Data code (e.g. D) as the filter value in these rules.  See KBA-01153 for more information about these rules.

  • If you do not want any Items on your Project Setup (most Data projects do not have Items) add and enable the ProjectConfig | AllowNoItems rule.
  • If you do not want a customer for the Data project, add and enable the ProjectConfig | AllowNoCustomer rule.
    Note: if all your child projects will have the same customer, do not use this rule. You will want to be able to enter that customer on your Data project.
  • If your Data project will not include budget information (most Data projects do not), add and enable the ProjectConfig | ManualBudget rule. This will prevent the Initial Budget document from being created automatically when you create the Project Setup.
  • If your Data project will not include submittals (most Data projects do not), add and enable the ProjectConfig | ManualSubmittalRegister rule. This will prevent the empty Submittal Register from being automatically created.
  • If the Data project will not be integrated with accounting (which is often the case, even if other projects are integrated), add and enable the ProjectConfig | SpitfireOnly rule.

Note: after making all your changes:

  • Click the Reload Configuration button on the left column in order to push the changes through the cache.
